Job Description:

Crane's Mill, a premier continuing retirement community located in West Caldwell, is currently seeking a Senior Lead Concierge. This position is full-time offering competitive compensation, a robust benefit package and generous paid time off.

Duties include the following:

  1. Assist with providing training and new policy updates to concierge staff as needed

  2. Staffing and scheduling - Work with per diem and PT staff to cover shifts as necessary

  3. Maintain and update concierge staff contact information

  4. Assist in delegating administrative duties

  5. Maintains a clean, clutter free environment

  6. Oversee and update all logs and manuals

  7. Coordination of mail room / new resident updates

  8. Answers and appropriately directs all incoming calls.

  9. Provides outstanding customer service to all customers, both internal and external.

  10. Acts as a liaison between residents, managerial staff and specific vendors

  11. Coordinates resident requests with appropriate departments.

  12. Use systems to assure requests are resolved to the residents’ satisfaction by appropriate departments.

  13. Provides clerical assistance to department directors as needed.

  14. Oversees and manages Crane’s Mill guest suite reservations and billing process

  15. Sort and distribute mail daily to individual departments mailboxes

  16. Sort and distribute residents' bills monthly.
  17. Completes annual compliance and HIPAA training and exhibits behavior as set forth by the LSMNJ Code of Ethics and Business Integrity in the performance of duties.

  18. Adheres to the Organization’s Policies and Procedures regarding the Compliance Program of the organization and is timely in reporting any possible concerns.

  19. Follows all local, state and federal regulations as they pertain to the position.

  20. Adheres to the Organization’s Policies and Procedures covering Privacy and Security in Compliance with HIPAA regulations.

  21. Other duties as assigned by my supervisor, necessary for the efficient operation of the department/facility.

Experience and Skills:

Education/Training/Certifications: BS/BA degree preferred

Required:  High School Diploma/GED

Skill(s): Customer Service Oriented, Telephone Etiquette, MS Office Suite; Internet/Intranet

Experience: 2-3 years of varied experience; familiarity with CCRC/resident relations; telephone systems
