Job Description:


The Villa, the newest senior care community of LSMNJ, located in desirable Florham Park, is currently seeking a full-time Unit Clerk.

Assumes responsibility to coordinate clerical duties at the unit nursing station. Performs receptionist, telephone, and clerical duties to support nursing staff in the delivery of care and services to unit residents.  Maintains medical records for each resident that are complete, readily accessible and systematically organized.  Interacts positively with residents, staff and visitors and others as needed.


Essential Duties


  1. Supports the mission and values of Lutheran Social Ministries of New Jersey, which is: Through the power of the Holy Spirit, and in response to God’s love as revealed in the Gospel, the mission of the Lutheran Social Ministries of New Jersey is to serve those in New Jersey who hurt, are in need, or have limited choices.

  2. Maintain storage areas in orderly manner.

  3. Maintains and updates current resources materials on unit, including policy and procedure manuals, OSHA materials, including expolsure control plan for bloodborne pathogens, etc.

  4. Obtains pre-authorizations from Managed Care companies as directed by Unit Manager.

  5. Communicates with Unit Manager and Unit Charge Nurse throughout the shift to coordinate efforts to meet the residents and staff needs.

  6. Participates in fire and disaster drills. In the event of an emergency, carries out assigned duties to assure resident safety.

  7. Monitor phones on nursing unit.

  8. Make copies of flow sheets and other nursing documentation sheets as directed by Unit Manager.

  9. Enter monthly vital signs and weights on chart upon receipt from nursing by the 10th of  the month.

  10. Responsible for the transfer of all clinical records upon a room/floor transfer.

  11. Makes copies of resident records following HIPAA guidelines.

  12. Assist with Central Supply Clerk duties as needed.

  13. Completes annual compliance and HIPAA training and exhibits behavior as set forth by the LSMNJ Code of Ethics and Business Integrity in the performance of duties.

  14. Adheres to the Organization’s Policies and Procedures regarding the Compliance Program of the organization and is timely in reporting any possible concerns.

  15. Follows all local, state and federal regulations as they pertain to the position.

  16. Adheres to the Organization’s Policies and Procedures covering Privacy and Security in Compliance with HIPAA regulations.

Other duties as assigned by my supervisor, necessary for the efficient operation of the department/facility

Experience and Skills:

High School diploma/GED is required.

Skill(s):  Possess clerical skills and have legible writing skills. Ability to learn the facility’s recordkeeping policies and procedures and apply to job tasks.  Proficient computer skills.  Sufficient interpersonal and communication skills.

 Experience: Previous experience in institutional health care setting preferred.  Experience with MS Office software is preferred
